Pilot release
This notice describes how VisitCheck works today, while it is running as a pilot. It covers only what the software actually does. We will tell you in advance about any material change.
Who is responsible
VisitCheck is a web application operated by the VisitCheck founder (“we”, “us”). For the customer details a trade business enters, that business decides what is collected and why; we process those details on their behalf. For business account details, we are the controller.
What we collect
- Business account: business name, owner name, trade, business email, customer-facing phone number.
- Appointment details: customer name, email address and/or mobile number, property address and postcode, job title and description, arrival window, and any notes the business adds.
- Customer answers to the checklist, the time they were submitted, and any change request.
- Records of emails we attempted to send, and a history of actions taken on each appointment.
- Optional pilot feedback the business chooses to record after a visit.
We do not ask for insurance documents, identity documents or business paperwork.
Why we use it
To create and manage appointments, send the customer a private link and reminder, show the business whether a visit is ready, and keep a record of what was agreed. We do not run advertising or sell data, and we do not send marketing email.
Who processes it
The application and its database run on the Base44 platform. Transactional email is delivered through the email provider configured for the account. We do not load third-party analytics or advertising scripts on customer pages.
Cookies and similar storage
We use the storage needed to keep a signed-in business session working. Customer pages do not set advertising cookies and are not indexed by search engines. We do not store appointment content for offline use.
How long we keep it
Businesses choose a retention period for completed and cancelled appointments (3, 6, 12 or 24 months) in Settings. That setting records how long they intend to keep them; VisitCheck does not delete older appointments automatically, so the business deletes them when the period is up. Customer links expire 30 days after issue, and never later than 7 days after the visit. Deleting an appointment removes the customer link, responses and email history; deleting an account removes all of the business’s records. Platform backups expire on the hosting provider’s schedule after deletion.
Your rights
You can ask for a copy of your information, ask us to correct it, or ask us to delete it. If you are a customer of a trade business, that business controls your appointment record — please contact them first. You can also contact support. You have the right to complain to the Information Commissioner’s Office.
Security
Customer links use long random codes and can be revoked or replaced at any time. Each business account can only reach its own records, enforced on the server. Do not forward a customer link to anyone who should not see the appointment.
